Youth Services News SRP 19 Parent Surveys

Good morning Youth Services staff!
It's time to talk about the surveys you'll be asking your parent and caregivers to fill out this summer. This year, there's a change that I talked about during the workshops last fall- I will no longer be accepting your paper copies and entering them into SurveyMonkey, I'm expecting every library to do the data entry themselves. It's NOT complicated or long, I timed it to about a minute per survey but I had been entering over 1000 surveys and that took A LOT of time (I will be sending along instructions of how to enter the surveys onto the website closer to the beginning of summer). In hopes that your parents and caregivers will just fill out the online version themselves, I've created a very simple bookmark that contains the QR code that directly links to the survey. It's a two-sided bookmark in Microsoft Publisher that I've attached here and left a lot of space for each library to customize with information about dates, events, contact info, etc. I've even included instructions on how to use a QR code (it's quite simple these days- no special apps needed for a smart phone, just point your phone's camera at it and it will open the survey on the website). I've also included the paper survey if you want to print it out and provide to your parents as well as the online link if you want to post that in various places and the QR code if you want to make your own flyer or poster. We have a Spanish version of the survey online and on paper and a Spanish QR code but I don't have a Spanish bookmark as I'm unable to translate the instructions into Spanish and don't have anyone who can translate (the survey was translated by a previous coworker who's no longer at the State Library).

I'm hoping this makes it a little easier for the libraries to encourage their parents and caregivers to fill out the survey- every year we've had a larger amount of surveys returned which is what I use in my reporting to the Institute of Museum and Library Services (IMLS) which is the federal agency that funds this program. It's vitally important that we get these surveys from the parents and caregivers and I know it can be difficult to get them to fill them out, hopefully the bookmark will help in that! In order to encourage the libraries to encourage their parents and caregivers to fill out the survey I will continue offering an extra $50 voucher to the library that turns in the most surveys in their legal service area tier. This year I will divide everyone into 4 tiers instead of 3 like the previous years. We'll do LSAs of greater than 40,000 people; 10,000- 39,999; 1,000-9,999; and less than 999. This gives the very small communities a better chance (in case you're interested the winners last year were Santa Fe, Hobbs and Tucumcari).

Last year there was also a bit of confusion between this survey (the parent survey) and the survey I ask all of you to fill out (the librarian survey). The librarian survey is required in order to get a voucher to purchase materials for the following year's program as well as receiving your manual for the following year. The parent survey is voluntary. I had libraries last year that thought they wouldn't get the voucher because they couldn't get parents to fill out the survey or thought they had the voucher because parents filled it out and they never filled out the librarian survey. The librarian survey is mandatory if you want to participate in the next year's program- the parent survey is not but it's VERY helpful and VERY important for funding purposes.

The deadline is August 31st for everything to be entered into SurveyMonkey. Like I said, I will send instructions closer to summer but I wanted you all to have access to the links and bookmark before summer began. I will also be reminding you all summer long!
